Portal Flow Guide

A practical /portal/guide for internal and client portal usage.

This page explains how users enter the portal, where they are redirected after login, what each panel is meant for, and what should be checked when an account cannot be used yet. All access starts from the centralized login at /portal/login.

Open Portal Login Use only /portal/login to enter every panel.

Quick Start (3 Steps)

  1. 1. Click "Open Portal Login", then sign in with your email and password.
  2. 2. After login, the system checks account readiness, email verification, and your role.
  3. 3. You are redirected automatically to the correct panel and continue your work from there.

Current Live Flow

This reflects the current portal implementation, not the older per-panel public login approach.

01

Enter from a single URL

Every user starts from /portal/login. Public use of /portal/{panel}/login is not part of the main flow and is redirected back to centralized login.

02

The system checks account readiness

Email and password must be valid. Internal accounts must also be active and linked to a valid organization and office before use.

03

Verify email when required

If the account is not yet verified, the user is sent to the email verification page, where a new verification link can be requested.

04

Automatic role-based redirect

Owner goes to admin, manager to manager, supervisor to supervisor, staff to staff, and client to client without manual panel selection.

05

Work inside the assigned panel

Internal users work on assignments, documents, KPI, leave, office leave, and monitoring. Clients focus on NDA completion and final documents.

06

Use recovery when access fails

If the password is forgotten, use password reset. If the wrong panel is opened or access is denied, go back to /portal/login or the correct dashboard.

Panel Map by Role

These are the post-login destinations based on the role attached to the account.

Owner / Admin

/portal/admin

Handles master data, users, roles, cross-module approvals, full monitoring, and the main administration area.

Manager

/portal/manager

Focused on approvals, assignments, bonuses, team monitoring, and managerial-level operational review.

Supervisor

/portal/supervisor

Reviews requests, monitors teams in supervisory scope, and continues workflow before manager decisions.

Staff

/portal/staff

Runs daily work such as documents, monthly KPI, leave requests, and office leave requests based on permissions.

Client

/portal/client

Handles NDA, opens their document list, and downloads only final documents made available to the client.

If You Are an Internal User

  • Sign in using an account email that is already linked to the correct organization, office, and role.
  • Use the panel chosen by the system redirect. You no longer need to remember separate panel login URLs.
  • When working in modules, follow approval order and team hierarchy. Many forms already restrict options to valid role and team data.
  • KPI data is staff-only. Leave and office leave also follow supervisor review and final manager/owner decisions. Page and widget visibility inside the panel is permission-based; if a certain menu or feature is not visible, the admin system must grant the permission.

If You Are a Client

  • Client accounts are activated through invitation emails from internal teams, not through public self-registration.
  • On first login, complete the digital NDA first before using the client panel further.
  • The client panel is focused on client-facing documents and information. Create document actions are not available there.
  • Downloads are available only for final documents. Draft files or files owned by another client remain blocked.

When Access Is Blocked

Forgot password

Use the "Forgot password?" link on the login page. The system will send a reset email so you can set a new password.

No verification email yet

Sign in with your account and resend the verification email from the verification page if the account is still unconfirmed.

Opened the wrong panel

If the panel URL does not match your role, access will be denied. Return to /portal/login or your correct dashboard.

Frequently Asked Questions

Why am I always redirected to a specific panel after login?

Because redirect behavior follows your account role. Users no longer choose panels manually as part of the normal flow.

Why is my menu different from another user's menu?

Each panel and menu follows role and permission rules. Manager, supervisor, staff, and client are expected to see different work areas.

What should I do if I still cannot sign in?

Check the email/password, email verification status, and whether the account is active. If it still fails, ask an admin to review the role and organization/office binding.

Why is a specific page or widget not appearing in my panel?

Page and widget visibility is controlled by permission records tied to the role. Ask the system admin to check and synchronize permissions via RolePermissionSeeder.
